Inserting Labels Into Your Excel Data

Once your DBF file and your labels have been downloaded and saved to your computer, and the DBF file is opened in Excel, follow these steps to insert the variable labels to the top of your Excel Spreadsheet:

• Select Insert then Worksheet from the top menu bar in Excel

• Now, within your new Worksheet, select Data, Get External Data, then Import Text File... and navigate through the directories to find and select your labels (12345.txt)

• Select Import

• Edit the Start import at row to 7

• Click Next

• Double click each arrow to delete them, except the first one that separates that variable name column from the variable label column

• Click Finish, then click Ok

• Switch to the Worksheet that contains your data by clicking its tab at the bottom of your Excel window

• Right click on the number 1 row in the upper left corner of the Excel Worksheet

• Select Insert to insert a new row

• Switch back to Sheet1 containing your variable labels

• Highlight the labels in column B of the Worksheet, then right click your mouse and select Copy

• Switch back to the Worksheet containing your data by selecting its tab at the bottom of the Excel window

• Left click on cell A1 once, then Right click on cell A1, then select Paste Special

• Check the Transpose box

• Select OK

• Your labels should now be listed at the top of the data Worksheet as shown below.  Adjust the width of the columns so that you can see the full labels

• Save your spreadsheet to preserve the labels
